Confirm what the meeting can decide
Ask your contact what the executive needs to understand and which approval is actually in scope. Funding a bounded evaluation, approving a purchase, and sponsoring an internal review are different decisions. Do not frame the meeting as a signature step when the buyer is still investigating.
Prepare a short brief with the current problem, evidence, proposed scope, alternatives, risks, and decision requested. Share it through the agreed process so your contact can correct errors before the discussion.

Original fictional decision request
A support team wants permission to test a new routing workflow with synthetic cases. The request is approval for a bounded evaluation, with an operations owner and defined questions. It is not a claim that the company has approved a full rollout or validated financial savings.
If the executive asks for a return estimate that has not been established, explain the missing baseline and who could validate it. Acknowledging the gap preserves the integrity of the decision.
Coordinate access and follow-through
Work with the existing contact on the purpose and invitation. Do not bypass them simply to manufacture executive access. After the meeting, document the actual decision, conditions, and accepted actions. A positive comment is not the same as funding approval.
For rehearsal, ask a colleague to play an executive who has only five minutes. Deliver the problem, evidence, and request without a product tour. Then answer a challenge about the no-change alternative. If the brief cannot explain why the decision matters without a list of features, revise the business context first.
