Clarify the request before assigning it
Ask which product, deployment model, and use case the review covers. Confirm whether the buyer has a portal, a questionnaire, or an approved evidence request. A document without context can create unnecessary back-and-forth and answers for the wrong configuration.

Use a bounded status message
Original fictional example: “I have routed the questionnaire for the hosted support-workflow scope to our security team. They are checking the evidence requirements and will confirm the review timeline. The buyer's requested date is Friday; that date is not yet a delivery commitment.”
The message distinguishes a request from an accepted deadline. If the buyer's schedule depends on the review, make that dependency visible in the action plan rather than quietly assuming it will finish in time.
Keep evidence within approved channels
Use current approved documentation and access controls. Do not copy restricted reports into an informal email thread or paste confidential questionnaire content into an unapproved tool. A prior answer may be outdated or apply to a different product, so let the specialist determine whether it can be reused.
Close the coordination loop
Track questions awaiting clarification, evidence provided, and the buyer's actual review outcome. “Questionnaire sent” is different from “security approved.” A specialist's completed answer is also different from the customer's acceptance.
For practice, take a synthetic request with a missing deployment model and an aggressive deadline. Write the clarification request, internal handoff, and buyer status update. Check that none of the three messages promises a control, approval, or completion date that has not been confirmed.
