HubSpot sequences can support consistent follow-up, but automation does not make a message relevant or permitted. Start with a defined audience, valid contact basis, accurate claims, and your organization's legal and brand rules.

Define the Job of the Sequence
Choose one audience, trigger, problem hypothesis, desired response, and exit condition. Do not mix event follow-up, cold outbound, stalled opportunities, and customer communication in one sequence.
Design the Steps
Use a small number of purposeful touches. Each email should stand alone, state why the message may be relevant, and make an easy request. Tasks should tell the rep what to inspect or do—not merely create activity.
Pre-Enrollment Checklist
- Correct person, company, role, and owner.
- No active opportunity, customer conflict, suppression, or prior reply.
- Required consent and regional rules satisfied under company policy.
- Personalization fields populated and reviewed.
- Claims and links accurate.
- Sender inbox, signature, time zone, and task routing correct.
Handle Replies and Exceptions
Stop automation when someone replies, opts out, changes role, or indicates irrelevance. Route substantive questions to a person. Never use generated personalization that asserts facts you did not verify.
Review the Sequence
Inspect positive replies, negative replies, opt-outs, bounces, meetings that held, accepted opportunities, and qualitative feedback. Compare cohorts only when audience and timing are sufficiently similar. Change one major variable at a time and document the reason.
