Preview this playbookIf a prospect says they are not the right person, accept the correction. You can ask who owns the relevant workflow if the context makes that reasonable, but do not turn a suggested name into a claimed endorsement. “Try operations” is direction, not an introduction.
HubSpot's sales-email guide includes referral requests. The examples below are original and focus on accurate relationship claims.
Ask about responsibility rather than hierarchy
Try: “Thanks for clarifying. Is support routing owned by your operations team, or is there another function I should research?” This asks a small question and does not require the recipient to provide private contact details or arrange a meeting.
If the answer is simply no, thank them and stop that thread. Do not keep asking increasingly senior versions of the same question after the person has declined to help.
Distinguish three kinds of response

Record which situation happened. Do not write “Alex asked me to reach out” unless that is an accurate description and appropriate to share.
An original next-message example
Without an introduction: “Morgan, I'm trying to understand who owns support routing at Northstar. Your operations role looked relevant. Is that workflow part of your team's remit?” This opening stands on its own and does not borrow trust from a colleague who merely supplied a name.
After an actual introduction: “Thanks for the introduction, Alex. Morgan, the question is whether shift handoffs are part of your current operations work. If so, I can share a short workflow example.” Keep the context aligned with what the introducer actually wrote.
Fix the research process
Repeated wrong-person replies may indicate that your role assumptions are weak. Review the workflow you are targeting and which responsibilities appear in public role descriptions. Titles vary; a director title does not guarantee ownership of your use case.
For a practice exercise, take three fictional accounts with different organizational structures. Identify the function you would research, write a bounded ownership question, and decide what evidence would change your target. Measure whether your notes accurately capture responsibility and permission. A referral count is not useful if it includes names volunteered without any introduction or interest.
